Coela trading as FlockFlow is the data controller responsible for the personal information described here. This notice explains what we collect, why, and who we share it with.

The legal entity that owns and operates this service is Coela trading as FlockFlow.

What we collect and why

• Account details — email address, password credentials, and where you provide them your name, farm name and district. Used to create and secure your account and to provide the service. Legal basis: performance of our contract with you.
• Profile photo — if you upload one. Used to personalise your account. Legal basis: consent.
• Farm records — flocks, camps, animals, movements, health, breeding and weight data you capture. Used to provide the service. Legal basis: performance of our contract.
• Technical and usage data — IP address, device and browser information, error reports and basic usage events. Used for security, fraud prevention, troubleshooting and improving the product. Legal basis: our legitimate interests.
• Support messages — what you send us. Used to answer you. Legal basis: legitimate interests.

Who we share it with

• Service providers — hosting, database, authentication and error-reporting providers acting on our instructions.
• Paddle, our Merchant of Record, for the sale of subscriptions, subscription management, payments, tax compliance and invoicing.
• Professional advisers such as accountants or lawyers where necessary.
• Authorities where the law requires it.

We do not sell your personal information.

Retention

We keep your account and farm records for as long as your account exists. If you delete your account, we delete or anonymise your data, except where we must keep records for legal, accounting or tax purposes.

Your rights

Under the Protection of Personal Information Act you may ask for access to your personal information, ask us to correct or delete it, object to certain processing, and withdraw consent where processing relies on it. You may also complain to the Information Regulator of South Africa. Email us at flockflowfarms@gmail.com and we will respond within a reasonable time, and within one month where the law requires it.

Security

We use appropriate technical and organisational measures, including encryption in transit, access controls and per-account database rules that keep every farm's data separate.

Cookies and local storage

We use essential cookies and browser storage to keep you signed in, remember your preferences, and let the app work offline. We do not use advertising cookies. You can clear this storage in your browser at any time, but the app may then stop working offline and sign you out.

International transfers

Some of our providers process data outside South Africa. Where that happens we rely on appropriate safeguards, such as standard contractual clauses.
